Conference attendee map

This is the attendee map for an invented 3-day industry summit in downtown Nashville. Every session, dinner and reception has a date, a start and end time and a room, so attendees open the agenda and see what is on today. The hotel block shows the nightly rate and walking time, with a booking button. Two walking routes cover the morning commute and the Wednesday dinner crawl. Send it in the confirmation email or embed it on the event site.

A sample map: its businesses and people are invented.

The use case

Who needs a map like this

Who it’s for

Event organizers, associations and trade show producers running multi-venue conferences

What it’s worth

Attendees spend the first hour lost. One map in the confirmation email and on the event site cuts the "where do I go" emails, fills the evening events sponsors pay for, and is reused next year by changing the dates.

What to notice in this map

  • Agenda by day with start and end times for every session
  • Hotel room block with rate, walk time and a booking button
  • Wednesday dinner crawl drawn as a walking route
  • Filter by format, rate or walk time from the convention center
  • Transit, rideshare zone and parking pinned next to the venues

  1. Step 1

Create an events map and set the base to streets with labels on.

  2. Step 2

Add four categories: sessions, hotels, dinners and getting around, each with its own sticker.

  3. Step 3

Add fields for walk time, block rate and a booking link, and set the link as the main button.

  4. Step 4

Place each venue with its date and times, draw the two walking routes, then share the map link or embed it.
